Billing & Collections:

We will process all payments (with the ability to pay online), keeping the most detailed financial records. Citrus HOA will track and notify any "past due" payments, including the service of "pay or lien" notifications. Detailed reports of any delinquency will be provided with each month’s financial statements.

Board Meeting Packages:

We will prepare and distribute meeting packages to your HOA's board at least five days before each meeting. We will provide a detailed agenda, minutes from the previous meeting, a summary of any violations, and a complete financial report, including any delinquency information.

Onsite Inspections:

Citrus HOA will conduct walkthroughs of your association's property as frequently as requested or agreed upon. We physically inspect the exterior of buildings as well as the condition of landscaping and common area facilities. We present our findings in written reports, which include general observations, lists of violations of the CC&Rs and Rules & Regulations, and suggestions and recommendations for the landscaper, pool & spa service provider, etc.

Project Coordination:

We will assist in coordinating all types of work for the regular maintenance of your association. Onsite meetings with contractors will be provided at no additional charge for these regular maintenance related items.

Payroll:

Citrus HOA will utilize our accounting capabilities to facilitate all payroll related matters for your association's employees.

Accounting:

We will monitor our clients' bank accounts on a regular basis, and all accounts are reconciled monthly. Reconciled reports and copies of bank statements will be sent to your HOA's board every month for review. All accounts payable invoices are date stamped upon receipt and inspected for validity. Check writing is done every week to ensure all vendors are paid on a timely basis.

Availability:

Our office hours are 8:00 AM to 4:30 PM, Monday through Friday. We do not close for lunch. In an emergency, we have a dedicated phone line on call 24 hours a day, providing a 30-minute maximum response time.

Electronic Delivery:

In our effort to streamline processes and eliminate waste, Citrus HOA offers the option for homeowners and association boards to go paperless for many of their statements and communications. 

Online Portal:

Citrus HOA will offer an online portal for each of our communities to connect. All association sites are regularly maintained to ensure the most current information is easily accessible.

Conference Room:

We know that board meetings are a key element within an HOA, but not all communities provide a comfortable setting for such an event. At no charge, Citrus HOA will offer a private, professional space for meetings of medium size, conveniently located at our Downtown Redlands office.
